Gordon Russell is a Canadian and family-owned business that supplies and services certified engineered products to industry in Western Canada and the US Pacific Northwest. The App In Action

Poeta Digital’s application allows Gordon Russell sales team members to manage service requests and sales opportunities without needing to engage the company’s GP Dynamics platform. Sales can now simply open up a deal or service ticket in HubSpot and use the embedded custom GP Dynamics applet built by Poeta Digital to create their order or request from internal inventory and service team availability. Under the hood, Poeta Digital has implemented middleware that ensures that all key data points in both systems—HubSpot and GP Dynamics—remain in sync and updated with a predetermined matrix for source of truth.

The Problem

Gordon Russell was operating two separate systems—HubSpot and GP Dynamics—that could not natively talk to one another. GP Dynamics, the company’s ERP system, managed inventory, invoicing, and internal work orders. HubSpot allowed the Gordon Russell sales team to manage new and existing customers, handle requests for work or equipment, and track deals. The workflows for each system were complicated, involving different individuals and different tasks. The siloed information stored in the GP Dynamics application was difficult to access due to security considerations, and the complex nature of its data architecture made it hard to work with. Further, GP Dynamics’ available integration paths did not meet the out-of-the-box requirements for the business use case. 

The Solution

Poeta Digital was tasked with solving the problem of how to get Gordon Russell’s two systems to speak to each other, with data unified across both. Poeta took a cost-effective and creative Agile software development approach, first establishing where the source of truth would exist for the various data entities needing to be managed, then determining how this information would be synced and how workflows would get initiated in response to particular requests for servicing or orders through a custom-built, cloud-based application. Next, Poeta  built an applet for deployment on the external CRM platform used by the sales team, which allowed sales to leverage live data from the inventory, work orders, and invoicing system.


The Result

Gordon Russell now has the necessary software architecture in place to allow for the seamless integration of data across their business. Their sales team can effectively manage customer relations, orders, and requests for service through HubSpot without having to access the GP Dynamics ERP system. GP Dynamics can still be used within the organization without any disruption or interruption to Gordon Russell’s internal workflows or existing standard operating procedures.
